Summary of Responsibilities:
Reporting to the Vice President & General Manager, responsibilities and essential job functions include but are not limited to the following:
  • Handle incoming enquiries for all group and event bookings within standard time frame.
  • Track enquiry details for weekly sales report and no book/turned away stats.
  • Use creative skills to generate a detailed proposal to maximize revenue opportunities and meet/exceed client expectations.
  • Efficiently follow up with all ongoing client enquiries.
  • Drive enquiries to site visits, then plan and host these site visits.
  • To secure and convert business from these enquiries, working with support from other departments and senior leadership as appropriate.
  • Prospect new client opportunities through networking, face to face appointments and researching industry news/leads.
  • Assisting in sales-based activities when required.
  • Host wedding taste tests.
  • To process Contract and Billing requirements.  Follow up with clients to ensure that signed contract(s) and first and subsequent deposit(s) are received.
  • Be the one stop point of contact for weddings from enquiry through to wedding day.
  • Be onsite as the point person for the Bride & Groom on wedding day.
  • Create and distribute Banquet Event Orders.
  • Make changes and any necessary adjustments to keep BEO’s updated.
  • Communicate all complete and accurate changes with hotel supporting departments prior to and during events.
  • Prepare correspondence to customers, internal booking reports, file maintenance and update marketing collateral.
  • Forecasting wedding and group revenues.
  • Build a partnership with the Banquet team to ensure service standards are maintained and guest expectations exceeded.
  • Attend relevant meetings including weekly BEO meetings, Leadership Team meetings, etc.
  • Other duties as assigned.
  • Minimum of 2 years catering/conference service experience in the hospitality industry required.
  • Extensive Food and Beverage knowledge.
  • Knowledge of meeting space capacities and terminology of meeting room set-ups.
  • Strong organizational and time management skills.
  • Must possess a strong sense of exceeding in providing quality service to our internal and external guests.
  • Assertive, self-starter, self-motivator with a high degree of professionalism.
  • Computer literate with proficiency in Microsoft Window applications and working with hotel property management and point of sales systems.
  • Highly responsible & reliable.
  • Ability to focus attention on guest needs while remaining calm and courteous at all times.
  • Previous Sales experience preferred.
  • Ability to work evenings/weekends/holidays as required.
Physical Aspects of Position (includes but are not limited to):
  • Frequent walking, standing and sitting throughout shift
  • Occasional lifting and carrying up to 20 lbs
  • Occasional bending, kneeling, pushing, pulling
  • Occasional ascending or descending ladders, stairs and ramps
